Towel Rental vs. Laundry Service: Which Fits Your Business?
If your gym, salon, or spa goes through stacks of towels every day, you've probably faced this question: should you rent towels from a linen company, or buy your own and pay someone to wash them? Both models work. The right one depends on your volume, how much control you want, and how flexible you need to be.
We won't throw made-up savings numbers at you. Instead, here's how each model works and how to run the comparison with your own numbers.
How towel rental works
With a rental program, the linen company owns the towels. They deliver clean ones, pick up dirty ones, and replace worn items over time. You pay for the service, usually per item or on a set schedule, and the towels never really belong to you.
What people like about it: no upfront purchase, and replacement is someone else's problem.
What to watch for: rental programs are often tied to an agreement with a set term. You may have less say over the towel quality, color, or size. Charges for lost or damaged items can add up, and leaving may mean settling up for inventory. (Our post on linen service contracts covers this in detail.)
How owning plus a laundry service works
Here you buy your own towels, in the size, color, and feel you want, and a pickup-and-delivery laundry service washes, dries, folds, and returns them on a schedule.
What people like about it: you choose the towels, they're yours, and the laundry service is just a service. If you want to change providers, your towels go with you.
What to watch for: you pay for the towels up front and you replace them as they wear out. You also need enough of them on hand to cover the time your laundry is out.
How to run your own comparison
Grab a notepad and answer these:
- How many towels do you go through in a typical week? Count a real week if you can.
- How many do you need on hand? This is your "par level": what's in use, what's clean on the shelf, and what's out being washed.
- What would it cost to buy that many towels of the quality you want? Get a real quote.
- How long do towels last in your business? Salons using color and product will replace faster than a yoga studio.
- What does each rental quote include? Ask about every line, not just the per-item rate.
- What does each laundry service quote include? Pickup frequency, turnaround, and how billing works.
Put the two side by side over a year. Include the less obvious items: replacement costs, lost-item charges, and anything you'd owe if you left.
Other things that matter besides cost
- Brand and guest experience. In a spa, the feel of a towel is part of the product. Owning lets you choose.
- Flexibility. If your volume swings seasonally, a service without a long commitment is easier to adjust.
- Visibility. Whichever model you choose, being able to see each pickup and return saves phone calls and catches missing items.
Frequently asked questions
Is renting towels always more expensive? Not necessarily. It depends on volume, the terms of the agreement, and how long towels last in your business. Run the numbers with real quotes.
How many towels should I own if I use a laundry service? Enough to cover what's in use, what's on the shelf, and what's out being washed between pickups. Your pickup frequency drives this, so see our guide on how often to schedule laundry pickup.
Can I switch from rental to owning? Usually, yes, but check your current agreement first for notice periods and inventory charges.
